Manages CC Archives. Includes determination and administration of archival policy for the institution, goal-setting and evaluation, needs assessment, development of new programs, establishment of priorities for project assignments, formulation of budgetary recommendations and coordination of CC strategy on corporate records retention. Advisory role for CC Florida archival requirement and CCHS consultations.
Directs and interprets archival policy for persons and departments in the institution. Determines appraisal standards for material deposited in the Archives which influence the permanent and legal records of the institution. Sets standards for confidentiality of administrative records.
Provides information to internal and external clients from the archival record. Determines relative importance and immediacy of projects to be undertaken that are requested by persons inside or outside the Clinic. Sets priorities.
Develops short and long range plans for Archives, to include expansion of physical space, acquisition of equipment, evaluation of personnel needs and performance. Formulates and justifies annual budget recommendations. Prepares annual report.
Represents The Cleveland Clinic on archival issues to outside institutions. participates educationally and politically in archival profession. Will coordinate and collaborate with CCF departments, including IT, Law, Corporate, Compliance, Finance and others to structure corporate records retention guidelines. Review existing retained records and recommend programs to most effectively manage volume and cost.
Other duties as assigned.
Master’s Degree from an accredited college in Library Science, Archival Science or related areas with coursework in records management, archives, business law and/or business management. Certified Records Manager preferred. Excellent interpersonal communication skills; ability to deal effectively with people of varying educational levels. Familiarity with data base, spreadsheet and word processing software. Undergraduate level course work in art history/aesthetics desired. supervisory experience.
REQUIRED LICENSURE, CERTIFICATION, OR REGISTRY:
Certification from the Academy of Certified Archivists (CA). Certificate as a Records Manager preferred.
At least four years of experience in the records management field. Experience in a health care environment a plus. Previous RIM training experience highly desirable. Expertise in use of MIcrosoft programs as well as web-based and enterprise-class business systems. Familiarity with best practices for electronic data retention and discovery procedures. Excellent written and oral communication skills and service orientation. Ability to work independently and to work well with senior administration, corporate officers, faculty and staff. Ability to handle print and electronic collections, including ability to lift up to 30 pounds.
